An introduction to Advanced Permission in Woba

Advanced Permission is a user- and survey-centered permission model that enables the creation of detailed permissions tailored to each individual employee and survey.

Introduction

There are two types of permissions in Woba, namely user permissions - permissions granted at the employee level, for example, "John Smith," and survey permissions - permissions granted at the survey level for a specific survey, for example, "Workplace Assessment 2023." These two types of permissions and their functions will be explained below.

User Permissions

The three different types of administrators in Woba unlock a range of different permissions.

Department admin

  • Can only perform actions on departments they have access to.

Company admin

  • Can perform actions across the entire company in Woba, including managing the organization.

Partner admin

  • Can perform actions across multiple companies in Woba (only their own clients), including managing each client's organization.

Survey permissions

When creating a new survey in Woba, by default, both company and department administrators for departments included in the survey will have access to the data. However, these permissions can be freely changed and customized as desired. Additionally, you can also grant permissions to an individual employee.

When creating a survey permission, you can choose whether the person or persons covered by the permission should be able to access reports, including the total company score and comments from the selected departments. If it is an individual permission, you can also choose which departments from the survey the employee should have access to.

Individual Permissions

Individual permissions granted to an employee override any other permissions the employee may have for the survey (e.g., if the employee is already a department admin).

Thomas can invite "Global HR," "HR Denmark," and "HR Sweden" to a survey he creates:

  • If he invites all three departments to a survey and grants permissions to department administrators, he will indirectly grant permissions to Denise and Svend for their departments.
  • He can also grant individual permissions to himself, Denise, Svend, or Frederik. For example, even though Frederik is not a department administrator for any of the departments, he can be granted permission to see one or more of them.
    • For example, you can grant Frederik permission to see "HR Denmark" in the survey. He can also grant additional permissions.
    • For example, he can grant Svend permissions for "HR Denmark."
 

If you are a department administrator for a department, you can invite that department (and the employees within it) to a survey. Furthermore, you can grant other employees access to view the survey results for one or more of your departments.

Role-based permissions

These permissions are based on the two user permissions: company and department administrator. These two are added by default when a new survey is created but can be freely removed or edited.

  • Company Administrator: All current company administrators will receive this permission.
  • Department Administrators: All department administrators whose department is invited to the survey will receive these permissions.

The purpose of these role-based permissions is to make it easier for the person granting permissions. In other words, instead of assigning individual permissions to 200 department administrators, you can simply assign to the role.

Note: Since a company administrator has universal access to the system, they can always restore permissions for a survey if they are removed.
