Onboarding and Exit Surveys

A Guide to Onboarding and Exit Surveys in Woba

If one wants to gain insight into new colleagues' experiences with their onboarding or get an evaluation from a colleague who is leaving, it is possible to schedule a survey to be sent out to an employee "X" number of days after/before their first/last working day.

The first thing you need to do when using Onboarding and Exit surveys is to create the survey using one of Woba's templates. You can do this as follows:

  1. Click on Surveys'
  2. Click on Designer
  3. Click on Use Woba Template
  4. Find and create Onboarding or Exit

 Just as with any other surveys, you choose the period during which the survey should be active. In this case, it is a good idea to have the survey run over a longer period. For example, if you know that you will be using the same survey for all new employees in the next six months, you simply choose to keep the survey active for the next six months.
  1. Click on Designer
  2. Find the survey and click on Scheduler
  3. Fill in the start and end date
  4. Select recipients: Here you choose all departments. This way, all departments are linked, but no individuals are set to receive the survey. Only the departments will be marked and NO employees should be marked to receive at this point. 
  5. Activate invitations and reminders
  6. Schedule the survey 

NOTE! To be able to send onboarding and exit surveys, it requires entering information about employees' start/end dates. Read more about how to edit employees here.

Survey conditions

This is what makes this setup unique, as you can choose the necessary criteria for when a person should be added and receive an invitation to Onboarding or Exit surveys.

Schedule an Onboarding survey

On the survey you have just scheduled, you need to activate the survey conditions. You can activate this under Settings.

  1. Activate Survey conditions
  2. In the "Employment start day" field, select the period during which an employee must start in order to receive the survey.
    1. Here, it makes the most sense to select the entire period during which the survey should be active.

  3. In the Offset field, enter the number of days that should pass before they receive the survey.

    1. For example, if you enter 14, the employee will receive the survey 14 days after their first working day.
  4. The people who meet the set criteria will henceforth be added to the survey.

 

Schedule an Exit survey

On the survey you have just scheduled, you need to activate the survey conditions. You can activate this under Settings.

  1. Activate Survey conditions
  2. In the "Employment End day" field, enter the number of days before their last working day that they should receive the survey.

    1. Here, it makes the most sense to select the entire period during which the survey should be active.

  3. In the Offset, enter the number of days before their last working day that they should receive the survey.

    1. For example, if you enter 14, the employee will receive the survey 14 days before their last working day.

  4. The people who meet the set criteria will henceforth be added to the survey.
