Survey conditions

A guide to setting up survey conditions:

If you want to send a survey to specific employees across departments, you can effectively use survey conditions. This means that you can invite employees to the survey based on one or more conditions that you define. For example, you can choose to send the survey only to employees who have been employed for a certain period, are employed at a specific location, or any custom variable you define.

Note: In order to use custom variables as conditions when sending out a survey, you need to be subscribed to the Woba Enterprise plan. You can learn more about the different subscription plans here.

Set up survey conditions

1. Create a draft for your survey.

2. Select the departments to which the conditions will apply.

3. Choose a period for the survey where employees who meet the conditions will be automatically invited.

4. Click Settings.

5. Enable Add automatically.

6. Set up the conditions.

7. Select Remove Employees to remove all employees from the survey, but not departments.

8. Then select Add employees now if employees who meet the conditions are to be invited immediately. This is optional, as the employees will otherwise be invited after the survey has started.

9. Your survey is now ready to be sent out. Set up invitations and reminders to inform employees who meet the conditions.

Example:

You want to send an onboarding survey to all employees who started in August 2023. The employees must not receive the survey until 14 days after they have started.

In this example, you select the period 1/8-2023 to 31/8-2023 as the first working day. In addition, you make an offset of 14 days. This way, employees only get invited to the survey 14 days after their start date. This means that an employee with a start date of 12/8-2023 will not receive the invitation to the survey until 26/8-2023.

Note: employees must meet all the selected conditions to be included in the survey. New employees in Woba who meet the conditions will be invited continuously.

Example #2 - combination of several conditions:

Problem:

You would like to send out a survey with a combination of several conditions. The survey must be received by employees who meet B + full-time, A + part-time, A + part-time, but not A + full-time. See a simplified example below:

Solution: 

1. Enable Survey Conditions.

2. Remove all employees from survey (to start from scratch).

3. Add all employees matching Class = B, Employment Type = Full-time

4. Add all employees matching Class = B, Employment Type = Part-time

5. Add all employees matching Class = W, Employment Type = Full-time

6. Disable Survey Conditions.

7. Spot-check that the right employees have been invited.
