A guide to using the Action Plan module

Purpose of the 'Actions' Module in Woba

Taking action on employee survey results is the key to creating lasting change. Woba’s Action Plan module helps you transform insights into concrete, measurable initiatives that strengthen well-being, prevent stress, and reduce absenteeism.

Without action, data loses its value. With Woba’s Action Plan module, you get a structured tool to turn feedback into improvements across the organization.

💡 Tip: You may not always know the right action from the start. And you can’t read your employees’ minds. Use the survey data as a starting point for an open and reflective dialogue with your employees when sharing results (Step 1). Let employees put into words what they need.

📑 Share the results

Transparent and objective communication is key. Use Woba’s reporting module to share results in an easy-to-read format with your team. Celebrate strengths and be honest about areas for improvement.

💡 Access recommendations

In Woba, you can access research-based recommendations derived from your survey results. They are prioritized based on your lowest-scoring focus areas.

How to:

  1. Go to: Actions → Recommendations

  2. Select survey and department

  3. Find and download recommendation as PDF

You can also create an action plan directly from recommendations.

📆 Create an action plan

Once you’ve had a constructive dialogue with your employees and/or sought guidance from recommendations, you can create action plans based on the survey’s focus areas.

Navigate to: Actions → Action Plans
Click “Add new”
Fill in:

  • Action Name
    E.g.: Work-related stress
  • Focus area from the survey
    E.g.: Stress because of work

  • Description of the problem
    Here you can describe details of the problem the action is meant to address. For example, include the score for the focus area, relevant survey comments, questions asked within that area, and describe the circumstances.

    Example: “Survey results show a tendency that employees often feel exhausted when they return home from work. At the same time, there is a trend of work-related stress.”
    Files can be attached to the description.

 

  • Description of the solution
    Here you define what exactly needs to be done to address the problem. Use the research-based recommendations in Woba, based on the IGLO model (Organization, Leadership, Group, and Individual levels). This ensures coverage across organizational layers for the best possible rollout.

    Example: “We evaluate workload and task distribution through regular dialogues with employees to assess whether tasks are realistic within the given timeframe. We provide resources such as stress management courses or access to a stress coach. We also ensure employees are aware of the tools available in Woba’s employee portal.”
    Files can be attached to the description.
  • Responsible and involved employees

    Responsible: Add the employee(s) responsible for driving the initiative. They will receive notifications about the creation and updates of the action.


    Involved: Add employees you want to involve in or give access to the action plan via Woba’s employee portal. Select “Visible to employees” to ensure access.

  • Departments
    Add either the entire organization or the specific departments relevant to the action plan.

  • Start and end date
    Define the timeframe for the action plan.

  • Notifications and reminders
    Enable these if you want responsible users to receive notifications when an action plan is created/updated and reminders if it is not marked as “Completed” by the end date.

    Press “Save” to create the action plan, which will now be available in the module and can be downloaded as PDF or PowerPoint.

REMEMBER: If you want to share action plans with employees in the employee portal, you must add them as involved.

  • Use AI Copilot as your sparring partner – to get an overview of data, key focus areas, and ideas for initiatives.
  • Measure the effect of your initiatives with impact measurements.
  • Use survey comments for context.
  • Involve employees through open dialogue about results.
  • Communicate progress and adjust continuously.

❓ Frequently Asked Questions

Who can create and view action plans?
→ Everyone with relevant access to Woba Analytics. As a department admin, you can only see and create plans for the departments you have access to.

Can employees see action plans?
→ Yes, if employees are added as involved and visibility is enabled during setup, they can see the plan in the employee portal.

What role do recommendations play?
→ They serve as inspiration for action plans and ensure evidence-based initiatives.

Can I update the status of my action plans?
→ Status is automatically updated based on the timeframe but can also be changed manually:
Go to: Actions → Action Plans → find the plan → click on status → select new status

  • Not started: Start date is in the future

  • In progress: Action plan is active

  • Overdue: Deadline has passed

  • Completed: Action plan has been finalized

Can I edit my action plans?
→ Yes, if you need to adjust a plan:

  • Go to: Actions > Action Plans
  • Find and click “Edit” on the right-hand side
  • Make the desired changes
  • Click “Save”

Can I delete an action plan?
→ Yes, but note: deleted action plans cannot be restored.
How to:

  • Go to: Actions > Action Plans
  • Find the plan → click “Delete” (the trash can icon on the right-hand side of the action plan)

 

How do I ensure follow-up?
→ Use status updates, notifications, and impact measurements in Woba.
